Drivers & SoftwareLesson 1 of 2
How to Find and Install the Right Printer Driver
How to install printer driver software safely: use the driver built into Windows or macOS, or download the right package from the manufacturer’s site.
Goal of this lesson. You’ll be able to choose between a built-in driver and the manufacturer’s package, find the correct official driver for your exact model, and install it safely.

What you’ll need
- Your printer’s exact model name, from the printer itself
- Your operating system and version
- An internet connection
- An administrator account on the computer, if asked
What this lesson covers
This lesson explains how to install printer driver software the safe way. A driver is the software that translates what you print into instructions your printer understands. You’ll learn the difference between the drivers built into Windows and macOS and the fuller packages manufacturers offer, how to find the exact official download for your model, and how to install it without picking up unwanted software.
Before you start
Find your exact model name. It’s printed on the front or top of the printer, and the full model number is on a label at the back or underneath. Letters at the end matter: two models with nearly the same name can need different software.
Check your operating system:
- Windows: open Settings, then System, then About to see whether you have Windows 11 or Windows 10.
- Mac: choose the Apple menu, then About This Mac to see the macOS version.
Built-in drivers or the manufacturer’s package?
Built-in drivers come with Windows and macOS or arrive automatically through Windows Update and Apple’s Software Update. Many printers also work through standard protocols such as AirPrint and Mopria, where no model-specific driver is needed at all. Built-in drivers handle normal printing well and update with the system.
Manufacturer packages are downloaded from the brand’s support site. They can add features such as a scanning app, ink or toner level alerts, cleaning and alignment tools, and extra paper or quality options.
A sensible approach: try adding the printer first using add a printer to Windows or add a printer to a Mac. If it prints and you have the features you need, you’re done. Install the manufacturer’s package only if something is missing.
Find and install the official driver
- Go to the manufacturer’s official support site. Type the brand’s main website address yourself, or use the support links on this page, rather than clicking search ads. Look for Support, Drivers or Software & Downloads.
- Enter your exact model. Use the product search or model finder. You should see: a product page with a photo matching your printer.
- Confirm your operating system. Most support sites detect it automatically. Check that it shows your version, such as Windows 11 or a recent macOS, and change it if it’s wrong.
- Choose the recommended package. It’s often labeled as the full software, full driver or recommended download. A “basic driver” is a smaller option without extras.
- Download and open the file. Your browser saves it to the Downloads folder. On Windows, if a prompt asks whether to allow the app to make changes, check that the publisher shown is the printer manufacturer before selecting Yes.
- Follow the installer. Choose your connection type (wireless, USB or wired network) when asked. Untick optional extras you don’t want, such as trial offers or account sign-ups, if the installer allows it. You should see: a final screen saying installation is complete, and often an offer to print a test page.
How to recognize the real support site
Search ads and copycat pages sometimes appear above the manufacturer’s own site. Signs you’re in the right place: the address is the brand’s own domain, the page asks for your model rather than offering a one-click “driver for every printer”, and the download is free with no request for payment or personal details. If a page asks you to call a number, let someone control your computer or pay for a driver, close it.
Check that it worked
Print a test page. On Windows, open Settings, the Printers & scanners page, select your printer and choose Print test page. On a Mac, print a short document. You should see: the page print, and any manufacturer tools you installed listed in the Start menu or Applications folder.
Troubleshooting
- The support site lists no driver for your operating system. Newer systems often rely on built-in support instead. The product page may say so; try the built-in method.
- The installer can’t find the printer. Connect the printer first (Wi-Fi, USB or Ethernet), then run the installer again.
- You now have two copies of the printer. The installer may add its own entry. Keep the one that prints and remove the other.
- Installation fails partway through. Restart the computer and run the installer again. If it still fails, see how to update, remove or reinstall a printer driver.
- Your computer blocks the installer. Make sure it came from the manufacturer’s site. On work computers, installation may need an administrator.
When to get more help
If no official driver exists for your printer and operating system, the built-in options don’t work, or installation keeps failing after a restart, contact the manufacturer’s support for your model. Very old printers may not be supported on new operating systems; the manufacturer can confirm what’s available. On managed work or school computers, ask the IT administrator.
FAQ
Is the driver on a printer’s CD still safe to use?
It’s genuine, but often out of date. The manufacturer’s website has the current version for your operating system, which is the better choice.
Do I need a driver to print from my phone?
Usually not. iPhones and iPads use AirPrint, and Android devices use their built-in print service or the manufacturer’s official app.
What’s the difference between a driver and printer software?
The driver is the part that lets the computer print. Printer software packages include the driver plus extra apps for scanning, ink levels and maintenance.
Why does a website ask me to install a program to find my driver?
You don’t need one. The manufacturer’s support site lets you search by model, and Windows Update and Apple supply drivers directly.
